No logins for directors

Your directors never have to learn a new tool.

Directors RSVP, vote and open the board packet straight from an email, without an account or a password. The chair and the executive director use the full workspace.

Board meeting: Tuesday 14 October, 1 of 2

You stay in control

The agents prepare the work. Your board makes the decisions.

Every agenda, set of minutes and vote starts as a draft. It becomes official only when someone with the authority to approve it does.

  • A draft agenda and board packet, built from open businessThen: The chair or another approver signs off before it is sent to directors
  • Draft minutes from your notes, transcript or recordingThen: The secretary edits and adopts them; until then they stay a draft
  • A motion, set up with the voting rules from your bylawsThen: The chair opens the vote before anyone can cast a ballot
  • New board members, read from the list you pastedThen: An administrator approves each one before they are added
  • An update to the board from a check you set upThen: The chair or executive director reads it and chooses to send it

Reminders to people about their own action items are the one thing that runs by itself, and only once someone on your board turns on a check that sends them. The chair, executive director or board assistant can stop them in Settings at any time.

Step 1 · Get set up

Run your next board meeting with Karma Compass.

Start with what you already have. Karma Compass sets up your board from it, and Mission Control walks you through each step.

  1. 1

    Your board roster

Nothing to type up. Karma Compass finds your directors on your website and fills in the roster. You add any missing email addresses and confirm it.

  2. 2

    Your bylaws

Upload them once. When anyone asks what they say about quorum, terms or voting, Karma Compass answers and points to the exact page.

  3. 3

    Your last minutes

Karma Compass turns them into a record of the meeting, gives each action item an owner, and follows up with that person on the schedule you choose.

  4. 4

    Your next meeting date

Schedule the meeting and a draft agenda is waiting for you, built from the business that is still open.

Step 2 · Mission Control

Start each day in Mission Control.

It is the first page you see when you sign in: one list of what needs you, soonest first. Each row opens the place where you deal with it.

  • Approvals waiting for your decision
  • Action items that are overdue or blocked
  • Minutes ready for review
  • Drafts the agents prepared for you
  • Setup steps you have not finished
Step 3 · Around each meeting

Agents handle the paperwork around every meeting.

One drafts the agenda, one drafts the minutes, and one follows up on action items. Use the arrows to see what each one does.

  • Agenda Agent, before the meeting: Drafts the agenda from what is open on your board, so the chair edits a draft instead of starting from a blank page. Carries forward unfinished action items. Lists decisions the board still has to make. Adds recurring items, like the annual conflict-of-interest forms. Attaches the reports directors should read first. Sends the draft to the chair for review.
  • Minutes Agent, after the meeting: Drafts the minutes from your notes, a transcript or a recording, for the secretary to review. Writes up who attended and whether there was quorum. Records each motion and how the vote went. Lists action items with an owner and a due date. Adds decisions to the board’s record once adopted. Sends the draft to the secretary to review and adopt.
  • Follow-through Agent, between meetings: Reminds people about what they agreed to do, and brings anything unfinished to the next agenda. Reminds owners before an action item is due. Tracks each item as open, blocked or done. Flags overdue and blocked items in Mission Control. Keeps one list of everything still open. Carries unfinished items to the next agenda.

Any time · Ask your records

Answers from your own documents, with the passage they came from.

Upload your bylaws, policies, board packets and past minutes, then ask questions in plain English. Each answer quotes the passage it used and names the document, with the page when the file has pages. If your documents don’t cover the question, Karma Compass says so instead of guessing.

  • Can we approve the audit engagement without a full board vote? No. Your bylaws say only the full board can appoint the auditor, so the finance committee cannot approve it on the board’s behalf. “The Board shall appoint the independent auditor annually. This authority shall not be delegated to any committee.” Bylaws · adopted 12 May 2024 · Article VII, §2, page 9. Source: Bylaws (current version) · page 9.
  • What did we decide about increasing the Executive Director’s compensation? The board approved a 4% increase at the March meeting, effective July 1, after the compensation committee’s review. “RESOLVED, that the Executive Director’s base salary be increased by four percent, effective July 1, as recommended by the Compensation Committee.” Motion carried · 7 for, 1 against. Source: Minutes · March board meeting.
  • Who still hasn’t completed the conflict-of-interest disclosure? Two directors haven’t returned this year’s form yet. A reminder is drafted for each of them, ready for you to send. Mateo Rivera, Treasurer · form sent Jan 12, Not returned. Evelyn Brooks, Director · form sent Jan 12, Not returned. Source: Conflict of interest forms · 2026.
  • Which commitments from the last two meetings are still open? Three are still open, and one is past its due date. Sign the audit engagement letter, Mateo Rivera · due Oct 3, Overdue. Renew the D&O insurance policy, Priya Shah · due Nov 15. Book the venue for the annual meeting, Evelyn Brooks · due Dec 1. Source: Action items · September and October meetings.
  • Build next month’s agenda around unfinished business and decisions we need to make. Here is a draft built from the business that is still open. It is ready for you to review, and nothing has been sent. 1. Consent agenda, October minutes · 5 min. 2. Decision: FY27 budget, Carried from October · 20 min. 3. Unfinished business, Audit letter, D&O renewal · 15 min. 4. Form 990 filing, Due Nov 15 · 10 min, Deadline. Source: Draft agenda · not sent.
